AI TRAINING
Asana AI for Workload Management and Portfolio Oversight
Master Asana Intelligence to surface risks, automate workflows, and keep portfolios on track with less manual effort.
What it covers
This hands-on workshop equips program managers and PMO leaders with practical skills to leverage Asana Intelligence features including AI-powered project summaries, automated risk flagging, smart workflow triggers, and cross-portfolio reporting dashboards. Participants work through real-world scenarios to configure Asana AI rules, interpret generated insights, and escalate risks before they become blockers. The format combines guided demonstrations with live configuration exercises in participants' own Asana environments. By the end, teams leave with working automation templates and a governance framework for scaling AI-assisted portfolio management.
What you'll be able to do
- Configure Asana Intelligence rules to automatically flag at-risk tasks based on custom thresholds and due-date patterns
- Build and publish cross-portfolio status dashboards that surface real-time workload data to senior stakeholders
- Create multi-step workflow automations that reduce manual status-update effort by replacing recurring check-ins with AI-generated summaries
- Evaluate which Asana AI outputs require human review versus can be acted upon autonomously
- Design a PMO governance playbook for rolling out Asana AI features consistently across project teams
Topics covered
- Asana Intelligence overview: AI features available by plan tier
- Configuring AI-generated project status summaries and recaps
- Automated risk flagging rules: setup, thresholds, and escalation paths
- Smart workflow automations: triggers, conditions, and actions
- Cross-portfolio reporting: building real-time health dashboards
- Workload balancing with AI capacity insights
- Integrating Asana AI with Slack, email, and stakeholder reporting
- Governance and rollout: change management for PMO-wide adoption
Delivery
Typically delivered as a single full-day workshop, either in-person or via virtual classroom (Zoom or Teams). Participants must have live access to their Asana workspace during the session. The session is split roughly 40% instructor demo and 60% hands-on configuration in real environments. Pre-work includes a 30-minute self-paced primer on Asana plan capabilities. Printed or digital reference cards covering automation logic syntax are provided. Remote delivery works well if breakout rooms are used for small-group configuration exercises.
What makes it work
- Piloting AI features with one high-visibility programme first to build internal confidence before PMO-wide rollout
- Appointing an Asana AI champion within the PMO who owns template maintenance and monitors automation performance
- Aligning on a shared status taxonomy (on track, at risk, off track) before configuring AI risk-flagging thresholds
- Scheduling a 30-day post-workshop review to audit automation outputs and fine-tune rules based on real usage data
Common mistakes
- Activating AI summaries without first standardising project naming conventions, leading to confusing or inconsistent outputs
- Over-automating escalation rules so that every minor delay triggers a stakeholder notification, causing alert fatigue
- Skipping the governance step and letting individual teams configure AI rules independently, which creates reporting fragmentation at portfolio level
- Treating Asana AI outputs as final decisions rather than prompts for human judgement, especially on resource allocation
When NOT to take this
This workshop is not the right fit for organisations that have not yet standardised on Asana as their primary project management tool, or for teams on the Asana Basic/Free plan that do not have access to Intelligence features — they will be unable to complete the hands-on exercises and will see no immediate return on the training investment.
