AI TRAINING
AI Essentials for Small Trades and Field-Service Businesses
Leave with ready-to-use AI workflows for dispatching, quoting, invoicing, and customer communications.
What it covers
A practical one-day workshop designed for owners and office managers of small trades businesses — plumbers, electricians, HVAC technicians. Participants learn to apply AI tools to their most time-consuming back-office tasks: scheduling and dispatching, quote drafting, invoice data extraction, and customer follow-up messages. The format combines short concept introductions with hands-on exercises using real-world scenarios from the trades. By the end, each participant leaves with at least two working AI-assisted workflows they can put into use immediately.
What you'll be able to do
- Configure an AI chatbot prompt template to generate accurate, professional job quotes in under two minutes
- Set up a simple dispatch-assistance workflow using a no-code tool that suggests technician assignments based on location and availability
- Use an AI document-extraction tool to pull line items and totals from supplier invoices into a spreadsheet automatically
- Draft and schedule AI-generated customer appointment reminders and post-job follow-up messages
- Evaluate a new AI tool for suitability using a basic checklist covering cost, data privacy, and integration with existing software
Topics covered
- Using AI chatbots to draft customer quotes and follow-up messages
- Automating job dispatching and scheduling with AI-assisted tools
- Extracting invoice and purchase-order data using AI OCR tools
- Optimising field technician routing with AI-powered mapping tools
- Setting up automated customer SMS/email reminders
- Choosing and evaluating no-code AI tools suitable for small trades businesses
- Understanding data privacy basics when using AI with customer data
Delivery
Delivered in-person or via live virtual session (Zoom/Teams). Each participant needs a laptop. The day is approximately 70% hands-on exercises and 30% facilitated discussion. A shared resource pack (prompt templates, tool comparison sheet, GDPR one-pager) is provided digitally. In-person delivery works well at a trade association venue or on-site at the business owner's premises.
What makes it work
- Starting with one high-frequency task (e.g. quote drafting) and perfecting it before adding more workflows
- Assigning one person in the business as the internal AI champion to maintain and improve the workflows
- Using prompt templates stored in a shared document so all team members produce consistent outputs
- Reviewing AI-generated outputs against real jobs in the first month to build trust and catch errors early
Common mistakes
- Buying a complex field-service software platform before testing simpler AI add-ons that plug into existing tools
- Using generic AI outputs for customer quotes without reviewing for accuracy — leading to costly pricing errors
- Sharing full customer databases with AI tools without checking the provider's data retention and GDPR compliance
- Expecting AI to replace dispatcher judgment entirely rather than using it as a decision-support layer
When NOT to take this
This workshop is not suitable for a trades business that has not yet digitalised its scheduling and invoicing — if the business still runs entirely on paper, foundational digital-tools training should come first before introducing AI workflows.
