What it covers

A hands-on two-day workshop guiding IT-savvy operations staff at small businesses through building a functional Copilot using Microsoft Copilot Studio and SharePoint as a knowledge base. Participants configure connectors, publish the Copilot to Microsoft Teams, and set up data loss prevention policies appropriate for SME environments. The course covers cost monitoring and licence optimisation so teams leave with a working assistant and a sustainable governance model.

What you'll be able to do

  • Create a working Copilot in Copilot Studio connected to a real SharePoint knowledge base
  • Configure at least one standard connector to pull live data into a conversation flow
  • Publish the Copilot to a Microsoft Teams channel and validate end-user access
  • Define and apply a DLP policy that prevents sensitive data from leaving approved channels
  • Read the Copilot Studio analytics dashboard and set a monthly cost alert

Topics covered

  • Introduction to Copilot Studio: canvas, topics, and entities
  • Connecting SharePoint document libraries as a knowledge source
  • Configuring built-in and custom connectors
  • Publishing and testing a Copilot in Microsoft Teams
  • Data Loss Prevention (DLP) policy setup for SMEs
  • Licence types, cost tracking, and usage caps
  • Basic conversation design and fallback handling
  • Handoff to human agents and escalation flows

Delivery

Delivered in-person or via Microsoft Teams with screen-sharing. Each participant needs a Microsoft 365 Business Standard or higher licence and Copilot Studio trial access pre-provisioned. Ratio is approximately 70% hands-on lab work to 30% guided instruction. A shared sandbox SharePoint site is prepared by the facilitator before day one. Post-workshop, participants receive a governance checklist and a Copilot template they can adapt immediately.

What makes it work

  • Identify one high-value, low-risk use case (e.g. internal FAQ) before the workshop to use as a real lab project
  • Assign a named internal owner for the Copilot who will monitor usage and iterate post-training
  • Curate and tag SharePoint content before connecting it to the Copilot to improve answer accuracy
  • Set a monthly session-consumption budget alert on day one and review it after two weeks

Common mistakes

  • Pointing the Copilot at an entire SharePoint site without curating content first, leading to noisy or confidential responses
  • Skipping DLP configuration and exposing internal HR or finance documents to all Teams users
  • Underestimating licence costs by conflating Copilot Studio sessions with Microsoft 365 Copilot seats
  • Publishing directly to production Teams channels before testing with a pilot group

When NOT to take this

A company that has not yet migrated its internal documentation to SharePoint or OneDrive will spend the workshop working around missing infrastructure rather than learning the tool — fix the content foundation first.
