AI TRAINING
Google Workspace with Gemini for Teams
Master Gemini's AI features across Gmail, Docs, Sheets, Slides and Meet to save hours weekly.
What it covers
This hands-on programme teaches teams how to use Google Gemini's embedded AI capabilities across the full Workspace suite — Gmail, Docs, Sheets, Slides, and Meet. Participants learn to automate routine writing tasks, summarise meetings, generate data insights, and build reusable prompt workflows. The training covers practical use cases relevant to each function, data residency and privacy considerations under EU law, and best practices for responsible AI use. Delivered as a mix of live demos, guided exercises, and peer practice sessions.
What you'll be able to do
- Draft, rewrite and summarise emails and documents using Gemini prompts tailored to your business context
- Generate Sheets formulas and data summaries from natural language instructions without manual lookup
- Produce structured slide decks and speaker notes from a brief using Gemini in Slides
- Configure Gemini in Meet to capture and distribute meeting summaries and action items automatically
- Apply EU data residency settings correctly and explain which data leaves your organisation's boundary
Topics covered
- Gemini in Gmail: smart reply, email drafting, summarisation and thread management
- Gemini in Docs: long-form drafting, rewriting, tone adjustment and document summarisation
- Gemini in Sheets: formula generation, data analysis prompts and automated insights
- Gemini in Slides: presentation generation from prompts and speaker notes automation
- Gemini in Meet: real-time transcription, meeting summaries and action item capture
- Prompt design fundamentals for Workspace tasks
- Data residency, privacy settings and GDPR considerations for EU organisations
- Building team-level prompt libraries and shared workflow templates
Delivery
Typically delivered as one full day (6-7 hours) or two half-day sessions to allow practice between sessions. Can be run in-person, remotely via Google Meet, or hybrid. Each participant needs a laptop with an active Gemini-enabled Workspace account. Hands-on exercises account for roughly 60% of session time. A shared prompt library document is co-built during the training and left with the team. Optional follow-up coaching session available 2-3 weeks post-training to embed habits.
What makes it work
- Use real team documents and emails during exercises so participants immediately see personal relevance
- Assign a Workspace champion per team to maintain the shared prompt library after training
- Combine training with a short manager briefing on expected behavioural change and time savings
- Schedule a follow-up check-in 3-4 weeks later to review adoption and unblock blockers
Common mistakes
- Enabling Gemini licences without any onboarding, resulting in low adoption and wasted spend
- Treating Gemini outputs as final without a review step, leading to errors in client-facing documents
- Ignoring data residency settings and inadvertently routing sensitive prompts outside the EU boundary
- Running a one-size-fits-all demo session instead of tailoring examples to each team's actual workflows
When NOT to take this
If your organisation is evaluating whether to adopt Google Workspace at all, or is in a competitive tool selection process, this training is premature — complete the procurement and rollout decision first.
