AI TRAINING
AI Tools for Agency Account Managers
Leave with five ready-to-use AI workflows that cut admin time and sharpen every client communication.
What it covers
A one-day practical workshop designed for account managers at small marketing, design, and PR agencies. Participants learn to use AI tools to summarise meeting notes, draft status reports, convert briefs into scopes of work, calibrate client-email tone, and generate timesheet narratives. The session is hands-on: every technique is practised on real-world agency content formats. By the end, each participant has a personal prompt library they can apply the following morning.
What you'll be able to do
- Produce a clean, structured meeting summary from raw notes in under three minutes using a repeatable prompt
- Convert a one-page client brief into a draft scope of work with defined deliverables and exclusions
- Rewrite a client-facing email to match a specified tone profile (formal, reassuring, direct) using a calibration prompt
- Generate accurate timesheet narrative entries from shorthand bullet logs without manual rewriting
- Identify when AI output requires fact-checking before it is sent to a client
Topics covered
- Meeting-note summarisation with AI transcription and prompt templates
- Drafting structured status reports from raw call notes
- Converting client briefs into scopes of work using AI-assisted structuring
- Calibrating email tone and register for different client relationships
- Generating timesheet narrative descriptions from bullet-point logs
- Building and organising a reusable personal prompt library
- Spotting and correcting AI hallucinations in client-facing documents
- Data privacy basics: what not to paste into public AI tools
Delivery
Delivered in-person or via live virtual classroom (Zoom or Teams). Participants need a laptop and access to ChatGPT, Claude, or an equivalent LLM — free tiers are sufficient. Materials include a printed or PDF prompt workbook, sample agency documents for exercises, and a prompt library template. Hands-on exercises account for approximately 65% of session time. A optional 60-minute follow-up call two weeks later is recommended to address adoption blockers.
What makes it work
- Practising on actual current projects during the workshop, not on abstract examples
- Creating a shared team prompt library so the whole agency benefits, not just early adopters
- Setting a 30-day habit goal: use at least one AI workflow on every new client project
- Nominating one internal champion to collect and refine prompts after the training
Common mistakes
- Pasting confidential client briefs or personal data directly into public AI tools without anonymising first
- Sending AI-drafted client emails without reviewing tone — the default register is often too casual or too formal for the relationship
- Building prompts that are too generic, producing outputs that still require extensive rewriting
- Abandoning the workflow after the first imperfect output instead of iterating the prompt
When NOT to take this
This workshop is not the right fit for an agency that has already standardised on a dedicated project-management platform with built-in AI features (e.g. Monday.com AI or Notion AI) and simply needs configuration support — a platform-specific training would deliver more value than a generic prompt-engineering session.
