AI for Catering Operations: From Brief to Execution

Leave with ready-to-use AI prompts that cut quote, BEO, and briefing time in half.

Format
workshop
Duration
6–8h

literacy
Group size
4–14
Price / participant
€350–€600
Group price
€3K–€7K
Audience
Operations managers and owners at independent catering and events companies (1–50 staff)
Prerequisites
No AI experience needed; participants should be comfortable using a smartphone or laptop and familiar with basic catering operations

What it covers

A hands-on one-day workshop for independent catering operators covering the full event lifecycle — from interpreting a client brief to generating a polished BEO draft, costed menu proposals, allergen-compliance checklists, and personalised client quotes. Participants work directly in AI tools using real catering scenarios, leaving with a personal prompt library they can use the next working day. No prior AI experience required; the focus is on practical application in a catering context rather than technical concepts.

What you'll be able to do

  • Draft a complete BEO from a raw client brief using a structured AI prompt in under 10 minutes
  • Write a menu costing prompt that outputs a per-head cost breakdown given ingredient and labour inputs
  • Generate a legally-aware allergen checklist for a given menu using AI, then verify it against EU FIC requirements
  • Produce a personalised client quote email from a template and event brief without manual rewriting
  • Identify at least three categories of AI error common in catering contexts and apply a simple verification routine

Topics covered

  • Turning a client event brief into a structured BEO draft using AI
  • Writing menu costing prompts that factor in portion sizes and supplier prices
  • Generating allergen-compliance checklists aligned with EU FIC regulation
  • Creating staff briefing documents from event specs in minutes
  • Personalising client quotes and proposal emails with AI
  • Building and organising a reusable catering prompt library
  • Spotting AI errors in food and compliance contexts

Delivery

Delivered in-person or via live virtual classroom (Zoom/Teams). Participants need a laptop and access to ChatGPT, Claude, or Copilot — a free tier is sufficient. The session is 80% hands-on exercises using real or anonymised catering briefs supplied by the facilitator or provided by participants in advance. Materials include a printed/PDF prompt cheat sheet, a BEO prompt template, and a reusable prompt library starter pack. Group sessions can be hosted at the client's premises for an additional travel fee.

What makes it work

  • Building a shared, team-accessible prompt library immediately after the workshop so everyone uses consistent inputs
  • Piloting on a low-stakes upcoming event within one week of training to embed the habit
  • Designating one person as the internal 'prompt owner' who refines and updates templates over time
  • Pairing AI-generated compliance checklists with a mandatory human sign-off step before client delivery

Common mistakes

  • Copying AI-generated allergen lists directly into menus without cross-checking against actual supplier ingredient sheets
  • Using generic ChatGPT prompts not grounded in catering specifics, producing unusable or inaccurate cost estimates
  • Treating the AI output as a final document rather than a first draft that still needs operator review
  • Skipping staff briefing on AI use, leading to inconsistent adoption across the team

When NOT to take this

If the catering company has no consistent operational documents (no standard BEO template, no pricing spreadsheet, no allergen register), this workshop will not deliver full value — foundational process documentation must come first before AI can meaningfully accelerate it.
