AI TRAINING
AI Tools for Small Hotels and Restaurants
Walk away able to deploy AI for bookings, menus, scheduling, and guest messaging in your venue.
What it covers
A practical two-day workshop designed for independent hospitality operators who want to apply AI without a dedicated tech team. Participants explore demand forecasting, AI-assisted menu engineering, WhatsApp concierge automation, and shift scheduling tools through hands-on exercises using real venue data. Each session is grounded in front-of-house and back-office reality, with no coding required. By the end, each operator leaves with a prioritised action plan tailored to their property or restaurant.
What you'll be able to do
- Set up a WhatsApp or web-chat concierge bot that handles at least five common guest request types without manual intervention
- Run an AI-assisted menu analysis to identify low-margin or underperforming items and propose data-backed alternatives
- Build a simple demand forecast for the next 30 days using your existing booking or cover data
- Evaluate and shortlist three no-code AI scheduling tools appropriate for a team of under 50 staff
- Produce a prioritised AI action plan for your venue covering quick wins within 90 days
Topics covered
- Demand forecasting and occupancy/cover optimisation with AI tools
- AI-assisted menu engineering: pricing, mix analysis, and seasonal adjustments
- WhatsApp and chatbot concierge setup for guest queries and reservations
- Shift scheduling automation for small hospitality teams
- Review analytics: monitoring and responding to guest feedback at scale
- Selecting and evaluating no-code AI tools suited to SME budgets
- Data hygiene basics: what hospitality data you already have and how to use it
Delivery
Delivered in-person or hybrid over two consecutive days (6-8 hours each). Facilitator brings pre-loaded demo datasets representative of small hospitality venues; participants are encouraged to bring anonymised samples of their own reservation or POS data. Hands-on exercises account for roughly 60% of time. A shared digital workbook is provided for ongoing reference after the workshop. Remote delivery is possible in a condensed format across three half-day sessions.
What makes it work
- Nominating a single internal champion (e.g. front-desk manager) who owns the AI tools post-workshop
- Starting with one high-visibility use case (e.g. review response automation) to build internal confidence before scaling
- Connecting AI scheduling outputs directly to payroll or rota software to avoid double-entry and ensure adoption
- Revisiting the 90-day action plan at a 30-day check-in, ideally with a peer from the same workshop cohort
Common mistakes
- Investing in expensive all-in-one PMS add-ons before validating simpler standalone AI tools that cost a fraction of the price
- Automating guest communications without a clear escalation path, leading to frustrated guests and unanswered complaints
- Treating demand forecasting as a one-time exercise rather than a rolling weekly habit tied to purchasing and rota decisions
- Skipping data cleaning steps and feeding dirty reservation data into AI tools, producing misleading forecasts
When NOT to take this
If the venue already has a dedicated revenue manager and an enterprise PMS (e.g. Oracle OPERA) with built-in analytics, this foundational workshop will feel too basic — a practitioner-level programme focused on advanced yield management or ML-based forecasting would be a better fit.
