AI TRAINING
AI Tools for Inbox Overload Relief
Walk away with a working AI-powered email system that keeps your inbox under control every week.
What it covers
A hands-on half-day workshop teaching founders and managers how to use AI email tools — Superhuman, Shortwave, Copilot in Outlook, and Gemini in Gmail — to triage, respond, and delegate faster. Participants build personal triage rules, a library of templated replies, and a repeatable weekly inbox-zero ritual. The format is 60% live tool practice and 40% framework setup, so every attendee leaves with a configured system, not just slides.
What you'll be able to do
- Configure at least one AI triage rule in Superhuman, Shortwave, Copilot, or Gemini that auto-sorts incoming mail
- Create a personal reply template library of five or more reusable AI-assisted drafts
- Apply a three-step delegation decision pattern to reduce time spent on non-essential threads
- Execute a weekly inbox-zero ritual in under 20 minutes using AI summarisation tools
- Identify and correct common AI tone or accuracy errors before sending replies
Topics covered
- AI triage rules in Superhuman and Shortwave
- Copilot in Outlook: summarise, draft, and prioritise
- Gemini in Gmail: smart replies and thread summaries
- Building a personal templated-reply library
- Delegation patterns: what to forward vs. handle vs. archive
- Setting up filters and labels with AI assist
- Weekly inbox-zero ritual design
- Avoiding AI reply pitfalls and tone errors
Delivery
Delivered in-person or via videoconference (Zoom/Teams). Participants must bring their own laptop with their primary email client open. Trainer shares a setup checklist 48 hours in advance so tool trials are activated before the session. Ratio: 60% hands-on configuration, 40% framework and pattern explanation. A shared template library is provided as a Notion or Google Doc take-home resource.
What makes it work
- Commit to a fixed weekly inbox ritual slot (same day, same time) for the first four weeks
- Start with one AI tool already in use before layering in additional platforms
- Share the template library with the whole team so replies stay consistent across senders
- Review AI triage rule performance monthly and prune rules that generate false positives
Common mistakes
- Applying AI triage to every email rather than focusing on high-volume recurring categories first
- Using AI-generated replies without a quick tone check, leading to impersonal or inaccurate responses
- Setting up inbox rules once and never revisiting them as email patterns change
- Delegating AI-drafted replies to team members without a clear review step, causing errors to go unnoticed
When NOT to take this
This workshop is not the right fit for organisations where email volume is low and the real bottleneck is CRM data quality or meeting overload — those teams need a different intervention first.
